Docket Software, LLC ("Docket," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform at docket.gg and related services (the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy.

Information you provide directly:

• Discord account information (username, avatar, Discord user ID) obtained via OAuth
• Community documents, rules, and SOPs you upload to train the AI
• Application responses submitted by your community members
• Ticket messages and support conversations
• Community settings, roles, and configuration

Information collected automatically:

• Log data including IP address, browser type, and pages visited
• Usage data such as features accessed and actions taken
• Device information including operating system and browser version
• Cookies and similar tracking technologies

Information from third parties:

• Discord guild (server) data including member counts and roles
• Roblox account and group data when the integration is enabled
• FiveM server data when the integration is configured
• Payment information processed by Stripe (we do not store card details)

We use the information we collect to:

• Provide, operate, and maintain the Service
• Train your community's AI assistant on your uploaded documents
• Score and review member applications using AI
• Generate analytics and performance reports for your community
• Process payments and manage subscriptions via Stripe
• Send service-related communications (account alerts, billing notices)
• Improve the Service through usage analysis
• Detect and prevent fraud, abuse, and security threats
• Comply with legal obligations

We do not sell your personal information to third parties.

When you upload documents to train your community's AI assistant, those documents are stored securely and used exclusively to power your community's AI responses. We do not use your community's documents to train shared AI models or share them with other communities.

Member application responses and ticket messages may be processed by AI systems to generate scores, recommendations, and summaries. This processing occurs solely for the purpose of providing the Service features you have enabled.

We do not sell, trade, or rent your personal information. We may share information with:

• Service providers: Stripe (payments), hosting providers, and infrastructure partners who process data on our behalf under confidentiality obligations
• Discord: Interaction data necessary to operate the bot within your Discord server
• Law enforcement: When required by law, court order, or to protect the safety of users
• Business transfers: In connection with a merger, acquisition, or sale of assets, with notice provided to you

We retain your data for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete your personal data within 90 days, except where retention is required by law.

Community documents uploaded for AI training are deleted within 30 days of account cancellation. Application and ticket data may be retained for up to 12 months to support disputes or legal requirements.

We implement industry-standard security measures to protect your information, including encryption in transit (TLS), access controls, and regular security audits. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

If we become aware of a security breach that affects your data, we will notify you within 72 hours via email or a notice on the Service.

We use cookies and similar technologies to maintain your session, remember your preferences, and analyze usage. You can control cookies through your browser settings, though disabling cookies may affect Service functionality.

We use strictly necessary cookies (required for the Service to function) and analytics cookies (to understand how the Service is used). We do not use advertising or tracking cookies.

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data ("right to be forgotten")
• Object to or restrict certain processing
• Request a copy of your data in a portable format
• Withdraw consent at any time (where processing is based on consent)

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it promptly.

The Service may contain links to third-party websites or services (such as Discord, Roblox, or FiveM). We are not responsible for the privacy practices of those services and encourage you to review their privacy policies.

We may update this Privacy Policy periodically. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
